Salary: $16.69-$18.40 DOE.  Non-exempt, benefits eligible,  212 days, plus 8 holidays, plus 3 personal days.

 

Benefits include: a comprehensive benefit plan, Montana State retirement plan (PERS), overtime eligible, PLUS 8-days holiday pay, 15-days paid vacation, 12-days sick leave and 3 personal days to start.  All benefits are prorated based on FTE.  Eligible employees and their covered dependents can also take advantage of FREE healthcare at Greater Valley Clinics.

Overview: The purpose of this position is to manage the operation of a school office.
Responsibilities include greeting parents and students, serving as secretary to the principal, and
performing various support services for students, parents, staff and the public.


Job Responsibilities:
Manages day-to-day operations of office.
Maintains and coordinates multiple staff and program calendars, schedules and reports for
administration.
Provides information in response to inquiries in person or by telephone; refers inquiries to
appropriate staff.
Maintains and processes confidential files and student records.
Prepares requisitions and invoices for materials and work orders for maintenance of program
facilities and equipment.
Composes and compiles correspondence, information, statistical data and reports for
administration.
Manages budgets within established procedures.
Maintains appropriate inventory of supplies, equipment, and materials.
Reconciles purchase orders to invoices and prepares the same for payments.
Requests purchase orders providing proper documentation for approval of purchases.
Prepares credit card purchase payments with proper documentation and budget codes.
Oversees the process of issuing receipts for all cash collections.
Works in conjunction with Business Office on all accounting functions.
Prepares and delivers accurate student account statements.
Prepares and oversees communications with students, staff, public, Board of Trustees,
businesses, and departments.
Works directly with the public to enroll district students in the program.
Assists, prepares, and reviews records, processes or other documents for completeness,
accuracy and conformity within established procedures; collects and compiles data to maintain
records, follows up on processes or items as needed.
Files and cross-indexes documents alphabetically, numerically, electronically or by another
prescribed method.
Prepares materials for meetings, projects, in-services, curriculum, or other school events as
requested.
Handles sensitive and confidential information with confidentiality.
Updates forms, schedules and handbooks annually with administration.
Receives screens, prioritizes and distributes mail.
Coordinates meetings, orientations, and facilities arrangements.
Prepares and follows up on supply requisitions, purchase orders, requests for special data, or
similar actions within established procedures for administration.
Operates office equipment such as copiers, calculators, word processors, personal computers,
data terminals, or other equipment.
Plans and prioritizes work load to meet set deadlines.
Administer basic first aid and medications to students.
Assists staff with special projects as directed.
Takes appropriate action in the event of an emergency.
Assist in arranging substitutes as needed, processing staff leave request.

Records daily attendance records.
Receives and prepares cash deposits.
Performs other duties of a similar nature as assigned by supervisor.


Knowledge, Skills and Abilities:
Knowledge of general office procedures and practices.
Ability to manage multiple projects effectively and to prioritize and organize tasks.
Skill in arithmetic, grammar, spelling, record keeping and compiling materials for reports.
Ability to become proficient and successfully operate personal computers and spreadsheets,
database, word processing, or other software packages.
Skill in the operation of a variety of office machines including personal computers, telephones and
copiers.
Skill in critical thinking, problem analysis, and resolution.
Ability to obtain and maintain first aid certification upon employment.
Ability to maintain effective professional relationships with staff, students, and parents.
Ability to follow directions.
Skill, dedication, and aptitude for working with students.
Demonstrated communication and interpersonal skills.
Ability to work effectively with people from a variety of culturally diverse backgrounds.
Ability to maintain confidentiality.
Ability to maintain regular and acceptable attendance levels.


Minimum Qualifications:
High school diploma or equivalent and four years of increasingly responsible administrative
support experience; OR,
Associate degree in relevant field of study and two years of increasingly responsible
administrative support experience.



Physical Demands:
Ability to stand on feet for extended periods of time, stoop, bend, lift and carry items up to 40
pounds.
